Your first hire: Simplifying the handover process

The handover — when you hand the van over to the hirer and when they bring it back — is one of the most important moments in the hiring experience.

Before the handover

You must download the Camplify app in order to complete a booking. The app is where you will complete the critical Pre-Hire Checklist and Post-Hire Checklist with your hirer during handover, which is how Camplify keeps your vehicle and hires safe. 

Prepare a handover pack or guidebook (digital or printed) that covers:

  • How to operate all the van's systems (fridge, stove, water, power, toilet, awning)

  • How to hitch/unhitch (for caravans and camper trailers)

  • Location of safety equipment (fire extinguisher, first aid kit)

  • Kilometre readings and fuel/gas levels

  • Your contact details and the Camplify roadside assistance number (02 4075 2000, Option 4)

The pickup handover & the Pre-Hire Checklist

Walk the hirer through the van in person. Demonstrate each system, point out any quirks, and answer questions. This is also when you complete the pre-hire checklist together — walk around the van, note any existing marks, and take photos.

It is critical to complete the Pre-Hire Checklist during this process. You must upload current images, which will be timestamped in order to provide evidence in the event you have a damage claim. If the Pret-Hire Checklist isn’t completed, you will not be covered for any claims.

Allow enough time. Rushing the handover leads to confused hirers calling you later with questions. Budget 30–45 minutes for a thorough walkthrough.

The return handover & the Post-Hire Checklist

When the van comes back, walk around it with the hirer. Check the interior and exterior, note any new marks or issues, and complete the post-hire checklist with photos. Check fluid levels, gas, and the odometer reading.

It is critical to complete the Post-Hire Checklist within 48 hours of the vehicle’s return. You must upload current images, which will be timestamped in order to provide evidence in the event you have a damage claim. If the Post-Hire Checklist isn’t completed, you will not be covered for any claims.

Thank the hirer, ask how their trip was, and remind them that you'd appreciate a review.

Delivery and collection

If you offer delivery, the same principles apply — just plan ahead for how you'll do the handover remotely. Many owners who deliver create a detailed video walkthrough or printed guidebook and are available by phone for the first hour after the hirer starts using the van.
